What does a property manager do in Buffalo?

Rent collection and accounting

Rent chased the week it is late, not the month after. Owner statements written so you can see income, expense and what each repair was for without calling to ask.

Maintenance and turnovers

Routine repairs and full unit turnovers handled by our own crews through the general contracting side of the business. One company quotes it, does it and stands behind it.

Inspections

Move-in and move-out condition reports with photographs, plus periodic interior and exterior checks so a small problem is found while it is still small. Winter is the reason this matters here.

Compliance

Rental registration, inspection scheduling, and any lead, asbestos or city code matter attached to the property. Deadlines are tracked here, not forwarded to you.

What the monthly fee includes

Rent collection and emergency situation handling are both inside the fee. You are not billed extra for somebody picking up the phone at nine at night and dealing with it.

Why there is a minimum

The fee runs up to 10% of rent, and never less than $100 a month. Where it lands inside that depends on the property, and it is agreed in writing before anything starts. The minimum applies whether the property is occupied or standing vacant, because a vacant property still needs checking, securing and heating through a Buffalo winter.

Bill pay

If you want utility and service bills paid on your behalf, that carries a $50 transportation charge, anywhere in Buffalo.

The set-up fee is charged once, when the property comes under management, and covers taking the property on: inspection, condition report, tenant file review, and getting the paperwork in order. A claim gets paid on evidence. Most owners lose money because nobody documented the damage properly at the time.

Inspection

Someone attends and assesses the damage properly, before anything is cleared up or repaired. What gets missed here cannot be added back later.

Photographs

Dated, thorough, from the angles an adjuster will ask about. This is the part owners consistently underdo.

Invoices and work record

Every cost documented as it happens, with a written record of the work carried out, so there is no argument about what was done or what it cost.

Claim documents

The paperwork assembled and submitted, and the claim followed through rather than left sitting with the insurer.

The fee is a percentage of the claim, so it costs nothing if nothing is paid out. If the property is already under management, the repair work itself is quoted from the published contracting rates and shown to you separately from the claim.

When it goes wrong

Nobody takes on a rental hoping to use this. It is priced openly anyway, because the owners who get hurt are the ones who wait three months before starting.

The range reflects how far the matter has to go. A tenant who leaves once the process starts costs less than one that runs all the way to a court date. What the fee covers is the work: preparing the file, dealing with the attorney on your behalf, attending where needed, and keeping the paperwork straight.

Storm damage, water damage, fire, vandalism. Owners usually lose money on a claim not because it was refused, but because the evidence was never assembled properly.

How much does a property manager cost in Buffalo NY?

WNY RPM Solution charges up to 10% of the monthly rent collected for residential property, with a minimum of $100 a month whether the property is occupied or vacant. Commercial runs 10% to 20% depending on the complexity of the space. Rates are adjustable with market value and are agreed in writing before anything starts.
